1. Scope and operator
This Privacy Policy applies to the Aircraft-Jobs website, Aircraft-Jobs Passport, employer tools, communications, and related services (the “Platform”). Aircraft-Jobs operates independently from Elite Aviation Staffing. Information submitted to Aircraft-Jobs is governed by this Policy and is not automatically shared with Elite Aviation Staffing.
2. Information we collect
Depending on how you use the Platform, we may collect:
- account information, including name, email address, password credentials handled by our authentication provider, account type, and company name;
- candidate Passport information, including contact details, location, work authorization, availability, travel preferences, compensation preferences, work history, aircraft experience, skills, licenses, certifications, tools, photographs, resumes, and uploaded documents;
- employer information, including business and hiring-contact details, job listings, requirements, candidate reviews, interview activity, offers, hiring stages, and account usage;
- application and communication information, including invitations, applications, match information, messages, interview responses, offer responses, and status history;
- transaction information, such as plan, subscription status, payment status, and billing identifiers. Payment-card details are processed by our payment provider and are not intended to be stored directly by Aircraft-Jobs;
- technical information, including IP address, browser and device information, operating system, pages viewed, timestamps, referral information, cookies, security events, and diagnostic logs; and
- consent records, including the document and version accepted, account role, acceptance location, date and time, and related browser or technical information.
3. How we use information
We may use information to:
- create, verify, secure, and administer accounts;
- build, save, import, claim, and display candidate Passports;
- provide job search, applications, employer review, matching, interview, offer, hiring-stage, and notification features;
- extract and organize resume or job-description information and generate match scores or other automated recommendations;
- process subscriptions, enforce plan limits, prevent misuse, and maintain billing and usage records;
- respond to support, correction, access, deactivation, or deletion requests;
- protect candidates, employers, Aircraft-Jobs, and others; detect fraud or security incidents; debug and improve the Platform; and
- comply with law, resolve disputes, preserve evidence, and enforce our agreements.
4. Passport visibility and candidate control
Candidates control whether their Passport is active and searchable, subject to account and safety rules. When active, approved employers may see the information designated for employer viewing. When inactive, the Passport should not appear in employer search, although Aircraft-Jobs may retain it as described below and an employer may retain information already lawfully received for an active hiring process or as required by law.
An administrator may import a resume to prepare a draft Passport. An imported Passport is unclaimed and must remain non-searchable until the candidate uses the secure invitation, creates or confirms an account, reviews the information, accepts the applicable legal terms, and affirmatively activates the Passport. The candidate may correct or remove imported information during review.
5. Automated processing and matching
Aircraft-Jobs may use automated tools to extract information from resumes and job descriptions, classify skills or experience, and produce match scores or recommendations. These tools may make mistakes and are intended to assist—not replace—human review. Aircraft-Jobs does not make the employer’s final hiring decision. Candidates may correct their Passport information, and employers are responsible for independently assessing job-related qualifications and complying with employment laws.
6. How we disclose information
We may disclose information:
- to approved employers when a candidate activates a searchable Passport, applies for a job, accepts an invitation, or otherwise directs the disclosure;
- to candidates when employers post jobs, send invitations, request interviews, make offers, or update hiring stages;
- to service providers that support hosting, databases, authentication, file storage, email delivery, analytics, security, customer support, and payment processing, subject to appropriate contractual or technical controls;
- when reasonably necessary to comply with law, lawful process, or governmental requests; protect rights or safety; investigate fraud, abuse, or security incidents; or enforce agreements; and
- in connection with a financing, reorganization, merger, sale, or transfer of all or part of the Platform, subject to applicable law and appropriate notice.
Aircraft-Jobs does not sell candidate personal information to data brokers or permit employers to use it for unrelated marketing, resale, publication, scraping, or creation of unrelated databases.
7. Employer responsibilities
Employers may use candidate information only for legitimate, job-related hiring. Candidate information should remain within the Platform whenever practical. An employer may move or retain it outside Aircraft-Jobs only when reasonably necessary for a genuine hiring process, after hiring, with the candidate’s consent, or as required by law. Employers must protect the information, restrict internal access, and delete or securely dispose of it when the hiring purpose and lawful retention needs end. Aircraft-Jobs cannot guarantee that every user will follow these requirements and may investigate and restrict accounts for suspected misuse.
8. Cookies and analytics
The Platform may use cookies, local storage, and similar technologies needed for authentication, preferences, security, performance, analytics, and feature operation. Browser settings may allow you to limit cookies, but disabling necessary technologies may prevent parts of the Platform from working. If optional advertising or analytics technologies are added, this Policy and any required consent controls will be updated before use.
9. Retention
We retain information for as long as reasonably necessary to provide the Platform, maintain account and hiring histories, complete transactions, enforce agreements, protect security, resolve disputes, meet legal obligations, and support legitimate business records. Retention periods vary by information type and context. We may retain limited records after account closure when needed for fraud prevention, consent evidence, legal compliance, dispute resolution, or backup integrity. When information is no longer needed, we take reasonable steps to delete, de-identify, or securely dispose of it.
10. Security and incident response
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No storage or transmission system can be guaranteed completely secure. Users must protect their credentials and notify us of suspected unauthorized access. If a security incident triggers legal notice duties, we will provide notices as required by applicable law.
11. Your choices and requests
Depending on your account and applicable law, you may update information, change Passport visibility, correct inaccuracies, request a copy of certain information, deactivate an account, or request deletion. We may need to verify identity before completing a request and may retain information when permitted or required by law. To make a privacy request, email dprince@aircraft-jobs.com. Include “Privacy Request” in the subject line and do not email passwords, Social Security numbers, or unnecessary sensitive documents.
12. Children
Aircraft-Jobs is an employment platform intended only for people who are at least 18 years old. We do not knowingly collect personal information from children. If we learn that a child provided personal information, we will take appropriate steps to remove it. A parent or guardian who believes a child provided information may contact us at the address below.
13. United States operation
Aircraft-Jobs currently operates from the United States. If you use the Platform from another location, your information may be processed and stored in the United States, where privacy laws may differ from those in your location.
14. Changes to this Policy
We may update this Policy as the Platform, service providers, or legal requirements change. The revised Policy will show a new effective date and version. Material changes will be communicated through the Platform, email, or renewed acceptance when appropriate.
